2. Your expression of interest and project contact

Demand for the housing concept

We assess interest in furnished homes in Coesfeld for stays from six months. Longer stays are welcome. The furnished apartments described here do not yet exist. We have not decided on a property purchase or whether to go ahead. You cannot currently rent or reserve a home through us. Preferred dates and the stated total monthly payment are part of a demand study, not an indication of availability or a binding rental offer.

Express interest without contact details

We receive your preferred move-in timeframe relative to the submission time, stay duration, number of people, displayed total monthly payment and your confirmation of non-binding interest if the project goes ahead. A message is optional. Please do not include sensitive personal information. The email also includes the language, submission time, project information version and a technical identifier to prevent duplicate submissions. If you arrive through a campaign, it includes its source. Neither a name nor an email address is required to take part.

We use these responses to assess demand by period and price and inform our project decision. To the extent personal data is processed, the basis is our legitimate interest in a meaningful demand study and planning our offer (Article 6(1)(f) GDPR). You can take part without contact details and object to processing under the applicable legal conditions. We do not create individual visitor profiles or make automated decisions within Article 22 GDPR.

Optional. A personal conversation and project information

Only if you activate the separate, initially unchecked consent do we ask for your email address and optionally your name. We use these details together with your housing needs to email you about your needs and the possible delivery of this specific maisonette project. The basis is your consent (Article 6(1)(a) GDPR). The email sent to us also contains the consent wording, version and timestamp as evidence under Article 7(1) GDPR.

You can withdraw consent at any time with effect for the future by emailing home@coesfeld-living.de. Earlier processing remains lawful. We will stop project contact and delete data no longer needed for that purpose. You can take part in the demand study without consenting. We send no general newsletters and do not share details for other organisations’ advertising. Your email address is not verified by a confirmation email when you submit.

Contact by email and phone

For a specific question, we process your email address, message and any voluntarily supplied name to reply personally. The basis is our legitimate interest in answering incoming questions (Article 6(1)(f) GDPR). The same applies to the information you share in an email or phone call. A contact enquiry does not give permission for subsequent project advertising.

Voluntary participation

You are under no statutory or contractual obligation to provide details. For the demand study, we need the marked housing-preference fields and confirmation of interest at the stated total monthly payment. In the form, an email address is required only for your chosen project contact. Price confirmation is not data-protection consent. No apartment is reserved.

3. How long we keep your details

Your form details are sent by email and handled in our mailbox. We delete incoming form data, including optional contact details and consent evidence, within 180 days. The operator handles mailbox deletion; the website does not automatically delete emails. If the demand study ends or we abandon the project, we delete personal data no longer needed for these purposes sooner. You may request earlier deletion by email at any time. If data is no longer needed for your enquiry, we delete it sooner unless legal grounds prevent this. Only genuinely anonymous, aggregate demand statistics may be retained longer.

We delete subsequent email correspondence once your enquiry is concluded and there are no remaining statutory retention duties or necessary records to keep. The website creates no database or backups of your form contents.

Delivery data held by Brevo

The 180-day period applies to our mailbox copies. Brevo may also store sending and delivery logs and, depending on account settings, copies of email contents. Their retention follows the deletion rules configured in the Brevo account. Without a time limit, logs are not automatically deleted. Deleting an email from our mailbox does not delete this data at Brevo. When handling valid erasure requests, we therefore also address the associated data held by the email provider, unless legal grounds prevent deletion. 4. Who can access your data

Your details are not public. Access is limited to people handling your enquiry at the operator and the necessary technical service providers. We do not sell your data or send general newsletters. Project information by email is limited to people who gave the separate consent.

Hosting with Hetzner

The website runs on servers of Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany, in EU data centres. A data-processing agreement under Article 28 GDPR is in place with Hetzner. See Hetzner’s privacy notice for more information. The legal basis is our legitimate interest in providing this website securely and reliably (Article 6(1)(f) GDPR).

The website does not transmit form data to analytics, advertising or AI services.

Email delivery through Brevo

We forward expressions of interest using Brevo, a service of Brevo GmbH, Köpenicker Str. 126, 10179 Berlin, Germany. When you submit, our website emails your form details to info@tc21ventures.com. The sender is Coesfeld Living, home@coesfeld-living.de. The website does not store form contents in a database.

We transmit the sender and recipient addresses, subject and email contents, together with technical sending and delivery information, to Brevo. The contents include your housing needs, message, language, campaign source, project version, submission time and request identifier. If you consent to project contact, they also include your email address, any name you provide, and the wording, version and timestamp of your consent. Your email address is then also used as the reply-to address. Brevo processes this data on our behalf to send the message, secure delivery and prevent abuse. Our mailbox providers also process the data necessary for transmission and handling.

The basis is the legal basis for the underlying processing: our legitimate interest in assessing demand and reliable, secure delivery (Article 6(1)(f) GDPR), and your consent for optional project contact (Article 6(1)(a) GDPR). A data-processing agreement under Article 28 GDPR is in place with Brevo. Submitting does not subscribe you to a newsletter or create a marketing contact in Brevo. You do not receive an automatic confirmation email.

Brevo states that processing by affiliated companies or service providers may also take place outside the European Economic Area, particularly in the United States and India. According to Brevo, adequacy decisions or the European Commission’s standard contractual clauses are used where required. Details of recipients, transfers and available safeguards are provided in Brevo’s privacy policy. You can also request further information about these safeguards using our contact details above.

5. What happens when you visit

Connection and security

Your browser transmits technically necessary connection data, including your IP address, to the server. Technical server logs may include the requested address, time, status and error messages, and your IP address. They support security and troubleshooting and are continually replaced through size-limited rotation. Form contents are not stored in these logs.

To prevent abuse, the application also holds identifiers derived from the IP address in memory for up to 15 minutes. To prevent duplicate submissions, the application also holds request identifiers, checksums and delivery state in memory for up to 30 minutes; form contents are not retained there. These security measures are based on our legitimate interest in secure operation (Article 6(1)(f) GDPR).

Cookies and external content

Public visits use no cookies or local browser storage. There are no external analytics or advertising services. Images, fonts and maps are provided without embedded third-party services.

6. Statistics without cookies

We use the open-source software GoatCounter on our own hosting infrastructure in the EU. We count successful page requests by page and hour to understand use of our website and its German and English content.

Counting takes place entirely on the server when it serves a page. There is no analytics script, tracking pixel, cookie, local browser storage or fingerprinting. Only the predefined page path without query parameters and a timestamp rounded down to the hour reach the statistics service. IP addresses, browser identifiers, referrers, campaign parameters, location data and form contents are not sent to GoatCounter. We assign no visitor or session identifiers and do not recognise returning people.

The reports count page requests, not distinct people. Known bots and prefetches are excluded where detectable. We do not count requests with the browser’s Do Not Track or Global Privacy Control signal enabled.

The statistics are used internally and are not transmitted to the software developer, advertising networks or other analytics providers. Hourly totals are removed after 90 days by a daily deletion routine; removal can take up to one additional day. No separate backups are created for these statistics.

The purpose is minimal audience measurement and improvement of our website. To the extent the server-side processing involves personal data, we rely on our legitimate interest in these purposes (Article 6(1)(f) GDPR). There is no additional access to your device for analytics. Your right to object is explained below. We cannot attribute previously aggregated counts to you.

7. How to exercise your rights

You remain in control of your details. The following rights apply subject to their respective legal conditions.

You can withdraw your project contact consent at any time with effect for the future by email. We will stop project contact. Earlier processing remains lawful. Confirming interest at the stated total monthly payment is separate and is not data-protection consent.

A short message is enough

Email home@coesfeld-living.de or write to the postal address above. You do not need an account or a particular form. Briefly explain what you would like us to do. If you took part without contact details, we may be unable to identify your response. We do not request additional identification data solely for that reason. If we have reasonable doubts about your identity, we ask only for the information necessary to identify you safely.

We handle requests without undue delay and generally free of charge, within one month of receipt. If a request is particularly complex or we receive many requests, this period may be extended by up to two further months. We will inform you within the first month and explain why. If we cannot fulfil your request, we will explain the reasons and your options for complaining or seeking a judicial remedy.

8. Where you can complain

If you believe we are processing your data unlawfully, you may complain to a supervisory authority (Article 77 GDPR), particularly where you live, work or believe the infringement occurred. You do not have to contact us first.

The authority responsible for our registered office is the Berlin Commissioner for Data Protection and Freedom of Information.
